Member accounts

GCS Membership Management software can run multiple ledgers per member, and each ledger can have its own rules regarding how it is handled at POS.

golf computer systems MMSOur POS solution offers a number of choices when it comes to how members can use accounts at points of sale. You can elect to operate any or all of the following features:

  • House accounts - allow members to charge to account
  • House levies - minimum spend levels tracked
  • Usable advance - prepaid funds that must be spent or forfeited by a date
  • E-wallets - member's own funds on a separate ledger for POS purchases
  • Prize ledger - allocate golf prizes to ledger and use to make purchases
  • Payments at POS - pay subs and/or top up e-wallet at POS terminals
  • Account balances - view and/or print current account balances
  • Loyalty rewards - add loyalty points or dollars for purchase levels

GCS Membership Management System is a prerequisite for operating member accounts with POS.

Charging to account by members is generally accompanied by use of automatic periodic direct debiting of bank or credit card accounts. This is managed within the GCS Membership Management System (MMS).

When charges are sent to MMS to record against member accounts, details of the items purchased are also sent and are recorded against the sale on the member’s ledger within MMS. This provides quick access to account queries by staff, and also makes the detail available to the member to view online via the GCS membership portal.

Members can make payments to those ledgers that allow payments from POS. This might include paying a subscription invoice when the Club office is unattended, or topping up an eWallet with members own funds.

A receipt processed at POS passes back to MMS and receipts to the applicable ledger, thereby removing the need for staff to enter the receipt directly into MMS.

Payments at POS are recorded in the POS cash drawer reconciliation, and are itemised on the POS trading summary reports as GCS Member Account Payments. MMS reporting provides the membership side of these member account transactions for reconciliation purposes.
